Since Google launched NotebookLM, it has become the tool I’m most frequently asked about by AI superusers and media professionals alike. While I could see its potential initially, it took time to find the right way to integrate it into my workflow. Now that I have, it’s the tool I reach for most often, and I would be significantly inconvenienced without it.
NotebookLM functions as a repository where you can upload various file types, including documents, PDFs, PowerPoint presentations, and voice recordings. This storage system helps with organization as all data is filed into different Notebooks, making your input data easy to parse through a chatbot-like interface. The key advantage is that the app only uses your repository of information, eliminating concerns about answers being polluted by internet data or AI-generated content.
Why NotebookLM Stands Out
The most impressive aspect is the chatbot’s quality of responses. For example, I frequently use the tool to locate specific parts of interviews for articles. When feature articles involve speaking with a dozen or more people, keeping track becomes challenging. With NotebookLM, I can compile all interviews into a Notebook and search for specific questions, toggling boxes to include as many or as few responses as needed.
The tool’s responses include footnotes indicating exactly which part of the source provided the answer. It also delivers scannable, easy-to-read outputs. You can have a conversation with the chatbot, following up with questions while it maintains context. Additionally, any standout findings can be added to the notes bar on the side to prevent them from getting lost in the interaction.
While other tools offer similar question-asking capabilities, I find that NotebookLM’s responses are more comprehensive and helpful. The output provides in-depth elaboration and insight that surpasses alternatives. One limitation is that audio transcriptions lack timestamps, making it difficult to skim through content. However, I discovered a workaround that led me to my next pick.
2. Apple’s Voice Memo Transcription: Simple Yet Powerful
Apple’s Voice Memo feature in Apple Intelligence has become another frequently used tool in my arsenal. Whether you’re recording voice memos constantly for work or you’re a student recording lectures, this feature proves extremely handy. Every time you record something, a transcript is automatically generated.
The most convenient feature is the search icon, which allows you to search conversations for specific terms and then replay them. I use Voice Memo in conjunction with NotebookLM: I ask NotebookLM to help locate the part of the conversation I’m searching for, then switch to Apple Voice Memos, type in a distinctive word from the quote, and re-listen to that portion of the conversation.
Accessibility and Cost Advantages
Not only is Voice Memo free to access, but it’s extremely easy to use natively without exporting files. All you need is iOS 18.0 or later on an iPhone 12 or later, making the app one of Apple’s more accessible features. This compares favorably to paid alternatives that can cost $200 annually.
For personal projects, I use the combination of NotebookLM and Voice Memo, finding this pairing more cost-effective and efficient than subscription-based alternatives.
3. ChatGPT: Voice Mode and Deep Research
Your go-to chatbot will likely be the one you spend the most time exploring initially. For me, that tool is ChatGPT. The reason it has maintained my loyalty, despite testing dozens of alternatives, is the constant implementation of new, helpful features.
Voice Mode: Natural Conversation AI
ChatGPT Voice Mode has been one of my go-to options since 2024, thanks to its ability to simulate human conversation while providing meaningful advice. The easiest way to describe Voice Mode is as a voice assistant that actually understands the context of what you’re trying to say, while also providing clear and helpful answers.
A recent example involved using Voice Mode with my partner to plan a New Year’s Eve trip. We tested multiple voice assistants, but were ultimately more satisfied with ChatGPT’s integration and ended up booking one of its recommended destinations.
Deep Research: Autonomous Information Gathering
A more recent feature, Deep Research, was introduced at the beginning of 2025 and has become a key tool because it works exactly as promised: it can autonomously search the web to compile robust research reports with the sources you need while you’re doing other things. The applications for this capability are endless, whether you’re researching a topic for school or work, or gathering information for a personal project.
